What this page is for
When you record money in more than one currency, reports and totals need monthly rates to your base currency. Here you keep those rates and choose the currency you want to see amounts in.
Who can use it
Manage currencies and exchange rates (by default Admin and Finance). Anyone can choose their own display currency.
How to keep rates
- Under Currencies in use, add each currency you record money in (three letters, for example USD).
- Choose the month with Previous month and Next month.
- Type how much one unit of each currency is worth in your base currency and select Save rates.
- Or select Copy last month to start from last month's rates, or Fetch ECB rates to fill them from the European Central Bank.
Fields and columns
| Field | Meaning |
|---|---|
| 1 USD in BDT | How many units of your base currency one unit of the currency is worth that month. |
| Typed in / Fetched | Where the rate came from. Fetching never overwrites a rate you typed. |
| Show amounts in | Your display currency. Lists and totals convert to it; the records keep their own currency. |
Statuses and automation
- Money converts at the rate for its month: bookings by the check-in month, expenses by the expense month.
- Without a rate for that month, the latest earlier month is used, then the earliest later one.
- A rate typed one way also works the other way, and two currencies without a direct rate convert through the base currency.
- When no rate exists at all, the amount stays in its own currency and is marked with a warning sign.
- With Fetch rates automatically on, this month's rates are fetched once at the start of the month.
Settings that change this page
Settings, Multi-currency: fetch rates automatically. Settings, General: base currency.
FAQs
Why is my currency missing after fetching? The European Central Bank does not publish every currency (for example BDT). Type those rates yourself.
Does changing a rate change past records? Records keep their own amounts. Reports convert again with the rates as they are now.
Troubleshooting
| Problem | What to do |
|---|---|
| A total shows a warning sign | A rate is missing. Add the rate for that currency and month. |
| Fetch says nothing was fetched | The service may be unreachable, or all rates were typed in already. |
