Roles and permissions

The roles in your organisation, how many people have each, and how roles control what people can do.

What this page is for

A role is a named set of permissions. Each permission allows one thing, such as View users or Change organisation settings. Every person gets one role, and can do exactly what that role allows. This page lists all roles in your organisation.

Who can use it

How to work with roles

  1. Select the eye icon to see a role's permissions.
  2. Select the copy icon to start a new role based on an existing one. This is the quickest way to create, for example, "Night manager" from Operations.
  3. Select New role to start from an empty role.

Fields and columns

Column Meaning
Role The role's name and description. Default marks the roles CityLights ships with.
Permissions How many permissions the role has.
People How many people in your organisation have this role.

The default roles

Role Typical use
Admin Everything except billing and licence.
Operations Day-to-day operations, without managing users or settings.
Finance Operations plus finance records, settlements and reports.
Sales Bookings, guests, corporate accounts and quotes.
Maintenance Maintenance tickets, schedules and inventory.
Staff (field) Field work: check-in and check-out, expenses, leave.
Property owner The owner portal, for their own properties only.
Viewer Reads and exports everything, changes nothing.

The account owner is not a role: it is a mark on one person who always has full access.

The permissions available depend on which modules are switched on.

FAQs

Can a person have two roles? Not at the moment. Create a role that combines what they need.

Can I delete a default role? No, but you can change its permissions or rename it.

Troubleshooting

Problem What to do
Someone can't see a screen they need Open their role and check the permission for that screen. Or give them a different role on their user page.
I can't edit roles You need Create, edit and delete roles. Ask an administrator.
