What this page is for
This page lists every property (unit) your organisation manages in CityLights. Bookings, expenses, tasks and reports all belong to a property, so this is usually the first thing you set up.
Who can use it
- View properties opens this page (by default every role except Property owner).
- Add properties shows the Add property button (by default Admin).
- People limited to some properties or groups (see Editing a user) only see those.
- The account owner can always do everything.
How to find a property
- Type part of the name, listing title or code in Search.
- Optionally choose a Status and a Group.
- Select Filter.
How to add properties
- One at a time: select Add property. Only the name is required.
- Many at once: use Data import (if switched on) with a spreadsheet of properties.
Fields and columns
| Column | Meaning |
|---|---|
| Name | The main photo, your internal name, and the guest-facing listing title below it. |
| Code | Optional short code, unique in your organisation. |
| Group | The building or area the property belongs to. |
| Status | Active, Onboarding, Inactive (closed) or Offboarded. Company costs marks the company cost centre. |
| Capacity | Maximum guests and bedrooms. |
Above the list, Licence units in use shows how many units your licence covers, when it has a limit.
Statuses and automation
- Active and Onboarding properties take part in automations such as pre check-in messages and alerts.
- Inactive (closed) properties keep their bookings but are skipped by automations.
- Offboarded properties no longer count towards the licence's unit limit.
Settings that change this page
- Groups come from Property groups.
- The unit limit comes from your Licence.
FAQs
Can I delete a property? Only if nothing uses it yet. Otherwise offboard it, so its history stays complete.
What is a company cost centre? A property that isn't rented out but collects company-wide costs, such as office rent, for the reports.
Troubleshooting
| Problem | What to do |
|---|---|
| A property is missing | Check the filters. Your access may be limited to some properties: ask an administrator. |
| "Your licence covers N units" when adding | Offboard a property you no longer manage, or upgrade the licence. |
